At Total Physiotherapy Manly Vale, we understand that your personal and health information is private and sensitive. We take reasonable steps to keep your information secure and protect it from unauthorised access, use, disclosure, loss or misuse.

As a private allied health practice in NSW, we handle your information in accordance with applicable Australian and NSW privacy laws, including the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and the Health Records and Information Privacy Act 2002 (NSW).

For the purpose of protecting your privacy the law states Total Physiotherapy is required to site evidence of identity and written authority from you to copy any information contained in your patient record before providing it to either you or any person or organisation authorized by you.

What information we collect

We may collect information such as your name and contact details, medical and health history, clinical notes, treatment information, referral and Medicare/private health insurance details, and information needed to manage your appointments and care.

We collect and use this information only where reasonably necessary to provide and manage your healthcare, communicate with you and operate our practice.

Who may access your information

Your information is treated as confidential, and access is limited to authorised team members who need it for their role. Where appropriate, information may be shared with other healthcare professionals involved in your care, referring practitioners, insurers or government bodies where authorised or required, and trusted technology and service providers that support our practice.

We do not sell your personal or health information.

Secure website and patient records

Our website uses HTTPS and SSL/TLS encryption to help protect information transmitted through our website.

We use Nookal, a specialist healthcare practice management platform, to securely manage patient records and practice administration. Nookal states that client data for Australian accounts is stored in its Sydney, Australia data centre. Data is protected using encryption, access controls and other security measures, with secure backups to support data recovery

AI-assisted clinical documentation

We may use Heidi Health as an AI-assisted clinical documentation tool to help our clinicians prepare clinical notes.

Heidi may process information from your consultation to generate a draft clinical note. Your clinician remains responsible for reviewing and approving your clinical record, and AI does not replace professional clinical judgement.

You can choose not to use Heidi, and this will not affect your ability to receive care from us.

Registered & accredited practitioners

Our physiotherapists are registered with Ahpra (Australian Health Practitioner Regulation Agency) and the Physiotherapy Board of Australia.

Our exercise physiologists are Accredited Exercise Physiologists (AEPs) accredited by Exercise & Sports Science Australia (ESSA), where applicable.

Our practitioners follow the relevant professional, privacy and regulatory standards.
